·        Open Outlook.

·        Click on the “Sent Items” folder (in the folder pane on the left).

·        Choose the message that you want to retrieve. From the message tab, you need to select “Actions”.

·        Now, click “Recall This Message”.

·        You will then select “Delete unread copies of this message” or “Delete unread copies and replace with a new message”.

·        Click “OK” (Tick the option “Tell me if recall succeeds or fails for each recipient” if you wish to know).

·        Then you can compose the message (a replacement message) and click “Send”.

You have successfully recalled the message.

Note:

1.      Didn’t come across the “Recall This Message” option? Okay! Probably, you don’t have an Exchange Account available.

2.      Also, if you are using Outlook on the web, you wouldn’t be able to recall the message.

3.      If a message is protected by Azure Information Protection, you cannot recall it.

How to Be Sure If a Message Recall Is Successful – 5 Scenarios to Check

The failure or success of an email recall largely depends on the settings of the recipient’s Outlook.

#Scenario 1: You compose an email and send it to an address. Realizing some error, you recall the original message and replace the same with a new one.

On the recipient’s computer, the checkbox “Automatically process requests and responses to meeting requests and polls” (under the “Tracking” section) is selected.

Result: In this scenario, both the messages (original and recall) are received in the inbox of the recipient. Believing the recipient hasn’t read the original message, it gets deleted. The recipient is notified that the sender, i.e. you have deleted the message from his mailbox.

#Scenario 2:You compose an email and send it to an address. Realizing some error, you recall the original message and replace the same with a new one.

On the recipient’s computer, the checkbox “Automatically process requests and responses to meeting requests and polls” (under the “Tracking” section) is not selected.

Result:In this scenario, both the messages (original and recall) are received in the inbox of the recipient.However, one of the following results will occur on the recipient’s computer –

1.      Both the original message and the recall message will be available in the mailbox if the recipient reads the original message first.

2.      The recall message will be available in the mailbox if the recipient reads the recall message first. However, he will be notified that the sender has deleted the original message from his mailbox.

#Scenario 3:You compose an email and send it to an address. Realizing some error, you recall the original message and replace the same with a new one.

On the recipient’s computer, the original message is moved out of the inbox – either by the action of the recipient or by the rule –and the recall message is available in the inbox or moved to another folder.

Result:If both the messages are in separate folders, the recall attempt will be failed regardless of the Outlook configurations. This means the recipient can see both the original and the recall messages.

#Scenario 4:You compose an email and send it to an address. Realizing some error, you recall the original message and replace the same with a new one.

On the recipient’s computer, both the original message and the recall message is moved to the same folder – either by the action of the recipient or by the rule.

Result:The following result may occur –

1.      Both the original message and the recall message will be available in the mailbox if the recipient reads the original message first.

2.      The recall message will be available in the mailbox if the recipient reads the recall message first. However, he will be notified that the sender has deleted the original message from his mailbox.
